Our Position on Artificial Intelligence

AI tools are becoming part of how IT work gets done โ€” and we believe our clients deserve to know exactly how NuTech uses them. This policy is straightforward: we use AI to help our team work better, not to replace human judgment, and never in ways that compromise your data or privacy.

We wrote this policy because we believe transparency about AI is the right thing to do โ€” and because as an IT company, we hold ourselves to a higher standard when it comes to technology practices.

Section 1

Scope of This Policy

This policy applies to NuTech Services LLC and covers how we use artificial intelligence and machine learning tools in our internal operations, service delivery, and technology platforms. It applies to all NuTech employees, contractors, and the tools we use on behalf of our clients.

This policy does not govern how our clients choose to use AI within their own businesses โ€” though we’re always happy to advise on that.

Section 2

How NuTech Uses AI

We use AI tools in limited, specific ways to help our technicians do better work โ€” faster and more consistently.

Internal Technical Assistance

Our technicians may use AI tools to assist with researching solutions, drafting documentation, or generating boilerplate configurations. All output is reviewed and verified by a human technician before any action is taken.

Documentation and Reporting

We may use AI to assist in generating service reports, summarizing ticket histories, or drafting internal documentation. Any client-facing documentation is reviewed and approved by a NuTech team member before delivery.

VoIP and Communications Platform

Our hosted VoIP platform (3CX) includes AI-powered features such as call transcription, voicemail-to-text, and intelligent call routing. These features are disclosed to clients at deployment. See Section 5 for more detail.

Monitoring and Alerting

Our RMM platform (NinjaRMM) uses automated analysis to detect anomalies, flag potential issues, and prioritize alerts. We include it here for full transparency.

How NuTech Does Not Use AI

Section 4

AI and Client Data

This is the part that matters most, and we want to be unambiguous about it:

๐Ÿ’ก NuTech does not feed client data โ€” including network information, credentials, business data, or personally identifiable information โ€” into any external AI model or service.

When our technicians use AI tools for internal research or documentation assistance, they do not input client-specific data into those tools.

If this practice changes for any reason, we will update this policy and notify affected clients before any change takes effect.

AI in Our VoIP Platform

NuTech’s hosted VoIP service is built on the 3CX platform. 3CX includes AI-powered features that clients may enable as part of their phone system configuration:

  • Voicemail transcription: Converts voicemail audio to text for email delivery
  • Call transcription: Optional transcription of call recordings
  • Intelligent call routing: Automated call flow based on configured rules
  • AI receptionist features: Where enabled, automated handling of incoming calls

These features are disclosed to clients at the time of VoIP deployment. It is the client’s responsibility to comply with Michigan and federal call recording disclosure requirements.

Third-Party AI Tools

NuTech uses third-party platforms that may incorporate AI features as part of their core functionality:

  • Microsoft Azure & Microsoft 365: Includes AI-powered features such as Microsoft Copilot, Defender threat intelligence, and Azure AI services.
  • NinjaRMM: Uses automated analysis for monitoring and alerting.
  • HaloPSA: May use automation features to route and prioritize tickets.
  • Proofpoint & Fortinet: Use AI-driven threat detection as part of their core security products.

We evaluate third-party tools for their AI and data practices as part of our vendor selection process.

Section 7

Human Oversight

NuTech’s position is that AI tools are assistants, not decision-makers. Every consequential decision about a client’s systems, infrastructure, security posture, or technology strategy is made by a qualified human technician or consultant โ€” not by an AI tool.

We do not allow AI-generated recommendations to be implemented on client systems without review and approval by a NuTech technician.

Fred Rappuhn, as Founder and CEO, is ultimately responsible for NuTech’s AI practices and this policy.

Our Commitments to You

Transparency

We’ll tell you when and how we use AI in our work. If you ask, we’ll give you a direct answer.

Data Protection

Your business data stays yours. We do not use client data to train or inform any AI model.

Human Accountability

Every decision that affects your systems is made and reviewed by a real person on our team.

Honest Updating

When our practices change, we’ll update this policy and let you know.

No Unapproved Automation

We will not deploy AI-driven automation on your systems without your knowledge and consent.

Client Control

If you have concerns about any AI feature in your environment, come to us and we’ll address it.

Section 9

Changes to This Policy

AI technology is moving quickly, and our practices will evolve alongside it. We commit to updating this policy when our use of AI tools changes in any meaningful way.

For active clients, we will provide notice of material changes via email or through the client portal.
