Four Standard Communication Tools Businesses Should Embrace

communication_tools_125753703_400.jpg

Depending on the software your business uses, you might find yourself either struggling to collaborate or reaping the rewards of doing so. When it comes to collaborative integrations, there are many innovative options on the market. Let’s examine some of the best options you have available to you.

Standard Communications Tools

Most modern businesses offer their employees several different ways to communicate with other members of their staff, their prospective clients, and current customers. Depending on the solution, they can either be simple and seamless or complicated with larger price tags. Here are some of the most commonly utilized tools:

  • Email
  • Telephone
  • Instant messaging
  • Documents

Communications can generally be split into two categories: written and verbal. Businesses need to have solutions in place that can handle both aspects of communication. One of the most common written communication solutions is email, and you’d be hard-pressed to find a business that doesn’t use it.

Email

Thanks to hosted email solutions, businesses have access to dynamic tools that can help them send out messages in the most effective and efficient way. Most modern email solutions will use the following features:

  • Daily backup of emails
  • Virus protection
  • Encryption
  • Spam filtering
  • Synchronization
  • Push mail
  • Archival

These options give users all the features they will need to go about their day-to-day duties using email. Along with making the management of email easier, most modern business’ email systems have integration for additional features, like security, for example.

Instant Messaging

Thanks to instant messaging, businesses have access to faster methods of communication than email, but you should know that not all solutions are as effective as others. Some hosted email platforms might have them built right into them, while others might be standalone solutions. Regardless, IM systems are extremely valuable and helpful for businesses, and they are usually a part of a larger communication platform.

Documentation

Other written communication platforms that you might not have considered include written resources like pamphlets, white papers, and other documents. When employees have access to this type of documentation, they can go about their duties in an informed manner. Sometimes documentation and FAQs can save your organization precious time and resources.

Telephone System

The telephone has been an important part of business communications for a long time, but the traditional sense of telephony is dead in the water compared to Voice over IP solutions. VoIP can be hosted on-site or in the cloud, and it can offer plenty of great features that your traditional telephone system would kill to have, chief among them seamless video conferencing. Remote teams benefit so much from this feature, as it gives them a chance to throw together a meeting at a moment’s notice. VoIP as a whole is an exceptionally potent business tool that can save you money. Here are some of the features it can offer:

  • Automated attendant with advanced call management
  • Caller ID
  • Call queuing
  • Call following
  • SMS and MMS integration
  • Mobile device integration
  • Analytics

…And many more.

The Top VoIP Features Make Switching a No-Brainer

VoIP_Tech_322545568_400.jpg

Just like business has changed dramatically over the years, so too have the tools they use to remain successful. One such tool is the telephone system, which is now capable of a host of impressive features that make it vital to the success of any business. What does hosted VoIP bring to the table, and how can you leverage it to your organization’s success?

What Exactly is Hosted VoIP?

Hosted VoIP is a great business telephone system that uses the Internet to do everything your traditional telephone system can, and even more, actually. VoIP is loaded with features that provide value for your organization, and since it is hosted in the cloud, you cut down on the need for more expensive hardware solutions and the setup time they involve. Let’s examine some of these features.

Automated Attendant

One of the more useful features for businesses is to have an automated answering system that can eliminate the need for a live receptionist and the costs associated with them. This also provides reliable call routing so that people can get connected to whoever they need to get connected to. Some VoIP providers also offer customization to help this auto attendant be more tailored to suit your organization.

Call Recording

So much of today’s business is done remotely that collaboration can be challenging. Call recording makes for more accessibility options for individuals who cannot make it to every single meeting. They can also assist with project management, team collaboration, and quality assurance. Hosted VoIP programs often include cloud storage space at an additional cost, but notably without any additional setup.

Caller ID and Screening

Hosted VoIP allows systems to show users who is calling and what some of the options are for incoming calls. Users can see the number, including if it is in your contacts, and options for answering the call, sending it to voicemail, or declining it altogether. This cuts down on time wasted on unnecessary or unwanted calls.

Call Forwarding and Flipping

Yet another great feature in favor of VoIP is the ability to forward or transfer a call to a separate device or a different number. Sometimes calls need to reach multiple different points within a business, so call forwarding is an absolute must—especially for something like customer support or for organizations with multiple departments who need to send calls along to the appropriate department. Call flipping, on the other hand, lets users send their calls to different devices, like a smartphone, so they can take calls on the road with them as needed.

SMS Text Messaging

Hosted VoIP solutions also give users the ability to send SMS messages, or text messages, to each other/. It’s a great way for teams to stay in touch, and if they can do so from their work accounts, all the better.

Video Conferencing and Bridging

The cloud makes for a dynamic VoIP platform. Conference calling is one such way that VoIP uses the cloud to great success. Thanks to the Internet, VoIP providers can offer video conferencing systems that integrate with conference bridging, allowing people to meet without wasting time and effort.

Analytics

Hosted VoIP gives administrators the ability to see all kinds of metrics to ensure that the phone system is being used in the most effective way possible. This gives you the ability to customise your VoIP platform to suit the needs of your organization while also controlling costs.

Go Mobile

Since each instance of a hosted VoIP platform can be accessed through a dedicated mobile application, employees can simply use their smartphones (or even a desktop/laptop) to access their work phone number and its many features. It’s a great way to cut costs and be even more productive.

In short, hosted VoIP is one of those solutions that we would label as a must-have for any business, big or small. To learn more about how hosted VoIP can help your business be more productive, reach out to us at 810.230.9455.

How VoIP Can Help the Business that Adopts It

415525386_VoIP_400.jpeg

For all the communication services and tools available to businesses nowadays, the telephone remains a staple in everyday processes—despite it often being difficult to manage and expensive to maintain. This is largely because today’s technology enables businesses to use a telephone system that exceeds the capabilities once provided by telephony, for a far more manageable investment.

Let’s take a few moments to explore how Voice over Internet Protocol (VoIP) telephony is so useful to businesses.

A Quick Overview of VoIP

Voice over Internet Protocol is a means of delivering a telephone system via the Internet, rather than investing in an additional, dedicated phone service. Available in different tiers, VoIP has proven reliable and responsive to change. This can largely be attributed to the use of cloud-based solutions to support these networks.

By using VoIP, a business can see quite a few perks come its way:

  • Simple management – With the option to host VoIP in-house or in a dedicated cloud server, it becomes much easier to make painless changes to the configuration of your solution.
  • Mobility – As VoIP uses the Internet as its data connection, it doesn’t need to be constrained to a stationary physical infrastructure. While a desktop phone can be made compatible with VoIP, a dedicated application on a mobile device can also be used.
  • Cost efficiency – By its very nature, VoIP enables a business to consolidate its operational expenses where communications are concerned. Rather than dedicating valuable dollars to yet another service, VoIP only requires an Internet connection to operate while offering many features you’d have to pay extra to a phone company for.
  • Business integrations – Many lines of business and office management applications have the capability to cooperate with VoIP services, helping to streamline daily processes.
  • Comprehensive features – As alluded to above, VoIP comes standard with many advanced call features and options for a business to take advantage of, like call waiting, call forwarding, conferencing capabilities, and instant messages.

NuTech Services is here to help you manage your business’ IT so that it can better fulfill your needs. Learn how we can help you take advantage of VoIP and other services by calling 810.230.9455 today.

Is 2021 the Year Your Business Embraces VoIP? (It Should Be)

158961356_VoIP_400.jpg

Since its widespread adoption, the telephone has proved to be a hugely beneficial tool for businesses of all kinds… despite the considerable costs that it can incur. Fortunately for your business’ budget, however, there is a far more cost-effective means for you to enjoy the benefits of telephony: VoIP, short for Voice over Internet Protocol. Let’s go over some of the reasons why VoIP is just a better option for any business.

What is VoIP?

At first glance, VoIP is almost indistinguishable from the telephone services you are used to using—in fact, you’ve likely used it before.

Basically, instead of using the network of telephone wires that stretches from your service provider to your location, VoIP uses your broadband connection to transmit your call data to and from the recipient. In doing so, you eliminate the need for a pricy telephone service, instead getting double duty from your Internet.

Like we said, you’ve likely used VoIP technology in some form. Skype, Facetime, and Facebook Messenger all operate as VoIP solutions, albeit more for the personal user than an organization. For the organization, many VoIP platforms are available that provide a hefty list of features and options, leading to greater advantages.

The Advantages of Using VoIP in a Business Setting

The benefits of using VoIP are straightforward for the business:

Cost

This is perhaps the most visible (and, for that matter, impactful) benefits that Voice over Internet Protocol offers. A POTS (Plain Old Telephone System) requires a sizable investment for the infrastructure alone, never mind the additional features that aren’t included by default. Comparatively, VoIP needs very little up-front investment, and these additional features are almost always included.

Simplicity

VoIP is a perfect example of a plug-in-and-play solution, with very little else involved in its setup besides signing into your solution and literally plugging in the device. Similarly, starting up and operating the additional features incorporated into VoIP is a very user-friendly experience as well. This ease of use helps to motivate your team to use the platform’s conferencing capabilities and mobile-friendly softphone, and for your part, adding users is a simple enough task.

Function

Finally, these additional features further support your business’ capacity to communicate effectively. Here’s a general idea of what VoIP solutions will offer:

  • Call forwarding
  • Personalized extensions
  • Call routing
  • Call recording
  • Automated receptionist
  • Call queues
  • Instant messaging
  • Text messaging
  • Find me, follow me
  • Audio and video conferencing
  • Integrated voicemail
  • Line-of-business integration

Depending on the VoIP solution implemented, many more features will likely be available in addition to these.

In short, VoIP makes your business communications better, benefitting both your internal collaboration and your outreach efforts. Find out more about what VoIP can do, and what’s involved in implementing it, by calling our professionals at NuTech Services at 810.230.9455.

Why is VoIP Seen as Such a Great Business Solution?

100826616_VoIP_400.jpg

Voice over Internet Protocol, or VoIP, is a common business communication solution nowadays… but it is still possible that you aren’t aware of what VoIP is and the many benefits it can deliver to your operations. To remedy this, let’s briefly review the concepts behind VoIP, and how your business can embrace them to its advantage.

What is VoIP, Anyways?

Voice over Internet Protocol is simply a different, more cost-effective means of transmitting voice data from one telephonic device to another. Rather than using a telephone provider’s infrastructure, a VoIP signal utilizes the Internet. This eliminates an entire line item from your expenses by rendering your telephone provider’s services redundant. This enables you to simultaneously save money while enjoying many often-included features that would otherwise have cost extra—assuming that they were even available with traditional telephony.

Is That the Only Reason I Should Use a VoIP Solution?

Absolutely not! VoIP can help you save time and money in other ways, as well:

  • With a history of being built upon open standards, VoIP solutions work on any device with sufficient specifications to support them—including mobile devices. This helps to minimize the investment you need to make to adopt VoIP, while simultaneously allowing you and your team to use your business telephone system remotely.
  • As VoIP operates through an Internet connection, the infrastructure to support it should already be in place within your business. As a result, it is likely that no costly renovations or additional wiring will be necessary, provided that your infrastructure is up to par.
  • Many businesses require costly Private Branch Exchange (PBX) equipment to properly utilize their internal phone network. VoIP eliminates the need for this expensive investment at all, also negating the need to maintain this equipment over time.
  • VoIP telephony generally doesn’t cost your business any extra for certain kinds of calls, like long distance calling—and if it does, it generally costs you much less than the telephone company would charge for it.
  • Unified communications are simpler to accomplish with VoIP, as many modern business solutions offer integrations with VoIP platforms. This makes communication easier to establish and track, which helps to keep the conversation moving forward efficiently.

All in all, utilizing VoIP as a part of your communications is not only a good strategy at the present, it is set to only show more promise as technologies—like artificial intelligence and 5G connectivity—continue to develop and improve.

NuTech Services can help you implement and maintain a VoIP solution that suits your business needs. To learn more, reach out to our team of experienced IT professionals by calling 810.230.9455.

Today’s VoIP Platform is Completely Customizable

134595765_VoIP_400.jpg

A business has to have a telephone system. It is the simplest and most utilized method of communication. Many businesses, however, have to consider many variables before choosing theirs and it adds up to a lot of confusion. They need to take into account the cost, yes, but also the feature set, and the phone system’s ability to support much-needed mobility. Today, we will tell you about an option that checks all the boxes: a hosted VoIP system.

What Exactly is Hosted VoiP?

Hosted VoIP is easily described as a communications platform that utilizes an Internet connection to function. Unlike traditional telephone systems that are purchased through the telephone company and have their own dedicated lines, hosted VoIP is hosted in the cloud and allows a business to build a strong, customized telephone system that meets a lot of a company’s communications needs.

While there are VoIP options for consumers, businesses need more. They need more control, more features, and more flexibility. A hosted VoIP platform allows businesses to add and remove lines from their system in minutes and provides them the options to customize the whole system to include more dynamic features designed to maximize a business’ ability to communicate and collaborate efficiently.

The Difference Maker

Most business owners would probably admit to thinking that all telephone systems are the same, but that isn’t the truth. Hosted VoIP can help you control costs, build a more comprehensive communications strategy, and significantly offer solutions to the question of mobility that many businesses have absolutely no answers for.  Let’s look at some of the main benefits of hosted VoIP:

Cost

Obviously, for most businesses the cost of a solution has to be a prime consideration. Hosted VoIP can save even the smallest businesses money in multiple ways. First, since you are using your business’ Internet connection to fuel your phone platform, you can cut the telephone company right out of the equation. Secondly, you can customize your hosted VoIP platform to get the solutions that work for your business, presenting you with very little waste. Lastly, your VoIP platform alternatively serves as your business’ mobile platform, as you can use the solution’s mobile app to make and receive phone calls—from your assigned VoIP phone number—anywhere your mobile device has Internet access.

Extremely Simple

A Hosted VoIP platform is extremely simple to set up. Working with a vendor, you can have a telephone system configured the way you like it in about a day. Compare that to the weeks of running cables and moving your business’ around to facilitate the installation of a traditional telephone system. For the end user it is even simpler. All you need to do is hook a VoIP-enabled phone into a workstation and you are ready to go. Additionally, you can add and remove lines extremely quickly, so you aren’t stuck paying for more that you need.

Functionality

One major benefit of VoIP is the customization of the platform. You can literally get dozens of tools if your business needs them. Some of the tools you can get with your VoIP platform include:

  • Audio and video conferencing
  • Call forwarding
  • Personalized extensions
  • Call routing
  • Call recording
  • Automated receptionist
  • Call queues
  • Instant messaging
  • Text messaging
  • Integrated voicemail

…and there are many more.

Hosted VoIP can change the way your business looks at its communications platform. With reliable and crisp-sounding calls, the Hosted VoIP platform can be right for just about any business. To learn more about hosted VoIP, give us a shout at 810.230.9455 today.

Tip of the Week: Three Ways to Improve Remote Meetings

345261061_remote_meetings_400.jpg

Remote work has certainly shown its utility over the past months, but despite this there are still many businesses who struggle to effectively run remote meetings. As remote meetings aren’t likely to phase out anytime soon, we felt it would be helpful to offer some tips to help make these meetings a little smoother for all involved.

Give Your Team Members Some Responsibilities

An in-person meeting and a meeting through a conferencing solution can admittedly have two very different feelings to the participants. The kind of participation that comes somewhat naturally in an in-person meeting can suddenly feel entirely foreign, the visual context cues that would normally drive the conversation stripped away using technology. As a result, awkward pauses and missed line items abound. This can easily lead to people increasingly talking out of turn, while others will remain silent. One way to help mitigate this is by distributing an agenda with assigned segments beforehand. That way, each team member will be responsible for some facet of the meeting, with the bonus of being able to prepare ahead of time to increase the meeting’s benefit.

This isn’t the only way you can keep your team members involved, either. You could also assign tasks for people to take notes or to keep track of the time remaining in the meeting. As a result, the whole team stays engaged in the meeting, and therefore will be more apt to contribute to the discussion.

Don’t Overfill Your Meetings

Have you ever sat in one of those meetings where the group was so big you felt as though you couldn’t get a word in edgewise, and that even if you did, only half the group would pick up on the point you made? An overly large remote meeting can work the same way. Lagging technology and people fighting for the chance to speak can make conversations difficult, and the increased background noise could easily drown out any productive conversation.

Therefore, smaller remote meetings are invariably better, as a more natural conversation can quickly take over and there is a reduced chance of distracting background noise. As a bonus, the smaller meeting size means that each person has a chance to contribute proportionally more to the meeting, increasing their engagement with it.

Don’t Allow People to Mute Themselves

Having people mute themselves during a remote meeting is like having a mime join a choir—there’s very little that they are going to contribute.

In addition to preventing people from contributing (potentially sacrificing valuable ideas), muting could also allow people to dissociate from the meeting completely. If they’re muted, one of your participants could be listening to a podcast, for all you know. If anything, allow brief muting to help hide noisy interruptions, like a sneeze or an unaware family member, but that’s it.

What have you done to keep your meetings running smoothly? Share your strategies with us by putting them in the comments!

Tip of the Week: How to Effectively Communicate with Your Clientbase

239398000_communication_tools_400.jpg

One of the most important things that your business needs to do—especially now—is to communicate with the clients you serve. To guide you into doing so to the best of your abilities, let’s go over some tips for you and your team to keep in mind pertaining to your communications.

1.  Use the Best Tool for the Job

Your contacts should never find it difficult to reach you, so you need to make sure you’re providing them with plenty of options for them to make contact. Don’t pick between a phone number or an email address, give them both, along with a live chat feature, conferencing options, and other forms of communication. Making use of things like a blog and social media give you a great way to reach out to them first, starting the conversation.

With all of the options you can now give to your clients, they will feel much more confident about getting an answer to their questions and having their concerns addressed. They’re also apt to pay more attention to you as well.

2.  Automate as You Communicate

Of course, in doing so, you may make it more challenging for you and your team members to keep the conversation going with your clients while also accomplishing what needs to be done each day. After all, if your whole day is spent answering questions on the phone, it’s going to be a little difficult to do anything else. Fortunately, there are solutions that you can use to better manage all these communications. Automated phone systems can keep your whole team from being interrupted as a client plays phone tag, while following up with emails and other communications can help minimize the questions that clients ultimately reach out with and simplify their experience.

3.  Coordinate Your Team

For your business to provide a good experience for your customers and clients, your team all needs to work together as they deal with them to avoid repeating or contradicting messages. Improving your internal communications will only make your external communications stronger. Tools also exist to facilitate this, including instant messaging and customer relationship management (CRM) software.

For assistance in implementing this technology (and others), reach out to our team here at NuTech Services. We can discuss the tools that will suit your needs the most, as well as figure out how we can optimize them to your needs. To learn more, give us a call at 810.230.9455.

When Working Remotely, VoIP is an Indispensable Tool

215056795_VoIP_400.jpg

With the widespread support of social distancing that current events have encouraged, remote working options are seeing an understandable surge in popularity. In order to make the most of “telecommuting,” as it is referred to, there are a lot of reasons to use a Voice over Internet Protocol, or VoIP, solution. Let’s go over some.

To start, let’s consider the situation that we find ourselves in.

With COVID-19 still spreading, the general consensus is that spending time around other people is currently a bad thing, making the workplace a less-than-ideal environment in which to spend one’s time. As a result, many people have self-quarantined themselves in their homes. With today’s available technology, however, this does not mean that they cannot get work done, with the cloud offering great opportunities for collaboration and remote work. This plays into VoIP’s benefits quite nicely.

For instance…

VoIP Can Simplify the Remote Process

Consider what your team might require in order to complete their tasks while out of the office. They should have a workstation of some sort, naturally, whether that be a laptop that travels between their home and the office, or a desktop device set to securely access their work resources. However, another piece of equipment that is generally necessary for many employees is an office phone… something that was once a much less portable solution.

Today, VoIP can change that, by allowing you to use the phone through the Internet, not the traditional dedicated phone lines. This means that your employees can continue to make their typical business calls, without the need to be in the office. Using the same business number, an application on their workstation or mobile device can take or make calls (along with a wide variety of additional features) from anywhere that they can establish an Internet connection.

VoIP is a Secure Means of Communication

When your workforce has the opportunity (or, as we’re now experiencing, need) to work from home, they will still need to communicate with one another. However, many residential Internet services lack the inherent security that many business conversations will require. No matter how efficiently you want your business to operate, no productivity is worth sacrificing security for.

VoIP allows you to enjoy the best of both worlds. By combining the cloud-hosted nature of VoIP with the use of a virtual private network (VPN), you can be confident that any conversations held over the VoIP system are private and secure. This is handy, as your employees could find themselves having to share protected data over the phone with their teammates. A VPN will protect their conversations from being listened in on, as the connection will be distorted to any outside observers by the inherent encryption of the VPN.

VoIP Incorporates Other Forms of Collaboration

Namely, video conferencing. Many VoIP platforms offer some kind of video conferencing feature, permitting a face-to-face interaction between callers, regardless of the distance between them. A big concern that is common amongst remote workers is the feeling of isolation that can develop from working alone.

By using the conferencing capabilities that the right platform has to offer, your team can interact with each other in a more personal way. This reinforces the idea that they are a part of a team, keeping up their morale and encouraging them to work collaboratively to accomplish their shared goals.

VoIP Can Replace Analog Phone Systems

285758363_voip_400.jpg

It’s true that Voice over Internet Protocol (VoIP) is probably going to be cheaper than using an enterprise phone system through your regional phone company. While cost reduction is a good reason to choose a service, VoIP does much more than just reduce communication costs. Implementing a VoIP platform also presents a lot of solid options that can help your business be more efficient and productive.

VoIP Allows You to Do More

While at its core, a VoIP system is a telephone system, it allows for many more options. Since it uses an organization’s available bandwidth rather than a dedicated RJ-11 connection, there are more dynamic options available. It may raise the cost of the solution a bit, but VoIP can come with instant messaging, conferencing, and call archival built in.

VoIP is More Secure

VoIP is far more secure to use than the traditional landline because it is easier to secure a digital connection than it is to secure an analog one. The use of encryption protects all information transmitted through the system.

VoIP is More Portable

This is a big benefit. VoIP solutions can be linked to mobile applications. This means that any smartphone can become a work phone, and can be linked to the same number as the user’s business phone. This allows people to get calls on their phone without having to give over their personal number. This is either done through forwarding or by installing a simple app on the phone.

VoIP Offers Automated Client Interaction

A VoIP system can be configured to support an entire business. There are integrated automated menus that can offer a lot of value by directing calls to voicemails, alternative members of your team, and allowing employees to avoid distractions and not neglecting their incoming calls. Call forwarding, parking, and many more options can be tied to a VoIP account for additional costs.

VoIP is a technology solution for all of your business’ calling needs. Call NuTech Services today at 810.230.9455 for more information about VoIP and you can get the telephone system you’ve always wanted for your business.

Is VoIP Really More Cost Effective?

voip_195901151_400.jpg

Every business can use some cost reductions. Most businesses have seen their margins shrink and would love to save some money, especially when it seems like as soon as it’s made it’s heading right back out the door. One way businesses can shave off their operational expenses is by shifting their business’ telephone system to a VoIP system.

What is Voice over Internet Protocol?

Traditionally, telephones work by sending electricity through the phone wires and phone lines and having it converted back into sound. Today, they have figured out how to do the same process through the Internet. Sounds are sent as data packets over Internet wires and then they are unpacked to make sounds again. VoIP is the product that has come from this innovation. Basically, where you once had to have an expensive business telephone system hardwired to your place of business, you can now do the same for a fraction of the cost by using your company’s bandwidth to send and receive calls.

How Does VoIP Work to Save Me Money?

VoIP presents several options that work to save your business money. They include:

You’re Paying for One Less Thing

Your business telephone system has worked, but the cost is high. Of course, you’ve needed it, but today, VoIP offers just as much in the way of features as a dedicated telephone system, but it does it through your Internet connection; a service that you almost assuredly have and use regularly.

VoIP is Easier

Since VoIP is delivered via your Internet connection, your staff no longer needs additional infrastructure–such as a wired connection for every phone–to be able to make calls. You can scale your hosted VoIP solution up and back as you need. What’s more, for many solutions you can utilize your staff’s personal devices as reliable work phones through the use of a mobile app. That’s much easier.

VoIP is More Efficient

Most VoIP solutions enable you to provide them with an auto attendant feature that provides directions to callers. This reduces the time that people need to be on the phone. Clients get connected with the person they are calling, while employees won’t need to deal with their phone ringing and causing interruptions.

There are many other benefits to VoIP solution. If you would like to learn more about implementing VoIP and saving money in the process, reach out to NuTech Services at 810.230.9455!

Is Cloud-Hosted VoIP a Good Value?

cloud_host_voip_400.jpg

Since companies have begun offering services in the cloud, organizations of all types have taken advantage of utility computing in hosted environments. One platform that we tend to see quite a lot of is Hosted VoIP. What makes a cloud-hosted business telephone system more attractive to the modern business owner than one they host onsite? Today we’ll take an in-depth look at the two options.

It goes without saying that having a comprehensive communications strategy is critical for the functionality of your business. Many businesses use traditional phone systems, and they pay handsomely for them. VoIP is a great way to utilize the bandwidth you already pay for to facilitate a business phone solution.

A VoIP system works by transferring sounds into data packets and then transferring them in real-time over an Internet connection. The sound is simply unpacking the data packets. The reason so many small businesses are switching to a VoIP system is that it allows an organization to manage their telephone system cost more effectively.

Nowadays there are hosted VoIP options that present companies with a virtual call center of sorts. Essentially, instead of hosting a stand-alone server at your place of business, the telephone system is hosted in the cloud and accessed through a web client.

Before you can consider either VoIP platform, you’ll have to determine what type of control you need over the technology. If you are someone that wants to play with settings and configurations, hosting your own PBX phone server may be the way to go, but if you are someone that doesn’t mind spending a little more per month to have these systems managed for you, a cloud-based VoIP solution should be right for you.

Your average VoIP solution provides your business with a path to cut the often-substantial capital costs of buying, housing, and maintaining an onsite telephony server. Since the provider will absorb the costs of maintenance and the outward reliability of the platform, you can spend less time focusing on managing your telephone system and more time relying on it.

Since VoIP downtime is not an option for the average business, you’ll want to consult with NuTech Services IT professionals to help you find the right solution to fit your business’ needs. Our staff are experts at designing, implementing, and managing computing networks that work for the modern business, so relying on us to help you deploy the right communications platform makes a lot of sense.

For more information about hosted VoIP or any other communication used to improve employee productivity and customer satisfaction, call NuTech Services today at 810.230.9455.

Can You Afford to Ditch Your Telephone System for VoIP?

voip_complex_400.jpg

Voice over Internet Protocol, or VoIP for short, might at first glance seem complex, but it’s really quite simple when explained properly. Unfortunately, misconceptions surrounding VoIP can become a barrier of entry for businesses considering a VoIP solution. We’re going to disprove some of these misconceptions and prove VoIP can be a valuable investment for just about any business in need of a communications solution.

“VoIP is Too Expensive”
Businesses often think that VoIP is more expensive than your typical telephone bill, but this isn’t necessarily the case. The purpose of VoIP is to actually reduce the costs of your telephone bill by eliminating unnecessary services and the costs associated with them. VoIP does this because it uses your Internet connection rather than a phone connection, meaning that you don’t have to have phone lines all over your office just to give each of your employees phones on their desks. All you need to use a VoIP solution is a headset or handset and a desktop/mobile app hooked up to the Internet.

“VoIP Isn’t Reliable Enough”
In reality, VoIP is only as reliable as your Internet connection. If your Internet connection isn’t reliable, then you have a problem as is, so why not use it as an opportunity to both improve connectivity and communications all in one?

“VoIP is More Trouble Than It’s Worth”
Considering that VoIP would be replacing your current telephone setup, it’s reasonable to suspect that the amount of effort put into this implementation would be considerable. However, that’s simply not the case–VoIP requires minimal setup, as it uses your existing network infrastructure. All you’re doing is connecting your phones to the Internet, which takes no time at all.

“VoIP Doesn’t Sound Good Enough”
VoIP often doesn’t sound any different from your typical phone line connection, and if it doesn’t sound as great as you want it to, chances are it’s (once again) an issue with your Internet connection–not necessarily anything wrong with the VoIP service itself.

“VoIP Isn’t the Right Fit”
VoIP can be the perfect fit for your business precisely due to just how customizable it is to your business’ specific needs. You can mix and match the additional features you desire to save money in the long run. All of the features from any old phone company would be a considerably larger investment, and some VoIP features aren’t even offered by your standard phone company in the first place.

VoIP is simply too good a solution to not implement or at least consider. If you want to hear more about VoIP, our IT professionals would be happy to assist you. To learn more, reach out to us at 810.230.9455.

The 3 F’s of a VoIP Solution

hosted_voip_400.jpg

Communication is pivotal to the success of your business, but it’s hard when you have a telephone system that seems like it was built for an age long past. A modern telephone system that utilizes the cloud is the ideal way to approach collaboration in the workplace. You have some options for this, but the easiest to take advantage of is a cloud-hosted Voice over Internet Protocol solution.

Compared to the traditional telephone system, a VoIP phone solution provides substantially more freedom to go about your business as you see fit, as well as the flexibility to adjust needs on a whim and the functionality you expect from an enterprise-level modern phone system.

Freedom
If all you’ve ever known are corded desk phones with a limited reach, then you don’t know the heightened experience of putting on a wireless headset and taking your business on the road. Traditional telephone systems are limited in scope because you’re tied to your desk or within a certain radius of your handset. VoIP phone systems can be used on any connected device, be it a desktop, a laptop, or even a mobile device. Since it’s a cloud-based application, your business can make use of it wherever and however it pleases.

Flexibility
When you implement a traditional telephone system, chances are you have a specific setup in mind that caters to your current needs. Now imagine that your organization is growing at a staggering rate and you don’t have enough phones for everyone. Knocking down walls, running cables, and changing your physical infrastructure just to add a few phones to your network is an overly complicated and expensive process. A cloud-based VoIP system allows you to add new numbers and users when they are needed. As long as your network can sustain the bandwidth (have the IT professionals at NuTech Services consult your Internet service provider for more information on this), you can add as many users as you need.

Functionality
A traditional telephone system is subject to the whims of phone providers. This in itself isn’t inherently bad, but the fact that so many of them bundle together unnecessary services makes for a frustrating and expensive system. For example, your business certainly doesn’t need 300 channels of cable television in addition to its phone system. Instead of bundling unnecessary services together, a VoIP solution offers you the opportunity to customize the solution to fit your specific needs. This includes additional options like instant messaging and video chat, in addition to all of the tried and true basics like conference calling and voicemail. Basically, you only pay for what you actually want and need, not what the provider thinks you want and need.

Why You’ll Want to Consider Hosted VoIP Telephony

consider_hosted_voip_telephony_400.jpg

Today, communications are an important part of business, and with nearly every organization looking to reduce redundancies, a lot of businesses are starting to take advantage of Voice over Internet Protocol (VoIP) solutions, using the resources they already have in place to avoid paying twice over.

With today’s ISPs delivering faster and faster speeds to businesses, much of the bandwidth a business uses is lost. By choosing to utilize a VoIP telephony solution, your company gets more for less. You are paying for access to massive amounts of bandwidth anyway, why not cut your communications costs while you are at it? Today we will take a look at the various types of VoIP that are available and why the switch may be just the thing your organization needs.

What is VoIP?
Voice over Internet Protocol is just that. The ability to make calls, and have a feature-rich platform that provides all the services that your traditional phone system offers, for a fraction of the cost per user. If this seems too good to be true, consider that the VoIP market is growing rapidly (over 15 percent per year). It works through your organization’s Internet connection rather than through dedicated phone lines. So, instead of having to pay for a separate system or add expensive hardware, VoIP provides an organization the immediate cost reduction without a discernible shift in functionality.

Hosted VoIP technology can be hosted either onsite or in the cloud, but since you won’t have to pay for and maintain hardware with the cloud-based platform, the cloud-hosted version will save you money. It is still a completely managed and maintained PBX server, but instead of having the system in your office, your organization can access it through web-based applications typically available on both desktops and mobile devices.

Benefits of VoIP
We’ve already outlined the cost reduction that’s possible with VoIP, but there are some other benefits as well. They include:

  • Easier to Manage: If anything else, switching to VoIP eliminates a vendor that you have to manage. More than that though, VoIP doesn’t need special hardware, it can use the same wiring and switches as your LAN.
  • Unified Communications: Installing a VoIP platform likely means that you are able to unify your organization’s communications platform, giving your staff the option to communicate multiple ways at the click of a button.
  • Functionality: A VoIP platform can integrate with all types of business-management software to provide easy access to the communication capabilities that often make business run better. VoIP also has innovative features like Voicemail-to-email transcription, interactive voice recognition, and integrated chat.
  • Scalability: When you need another user, it’s as simple as adding a line to your VoIP plan.

VoIP makes a lot of sense for the growing business and the established enterprise, alike. If you would like more information, contact our professional consultants today at 810.230.9455.

VoIP Delivers Benefits That a Traditional Phone System Can’t

voip_traditional_phone_400.jpg

Communication is a critical part of your business’ operations, but how can you ensure that you’re not holding your business back by failing to consider modern solutions to age-old problems? While your telephone system likely gets the job done, you shouldn’t let complacency keep you from striving for improvement. For telephony solutions, you can consider leaving behind your service provider and investing in a digital solution called Voice over Internet Protocol, or VoIP.

Traditional telephone solutions rely on telephone lines being installed throughout your office. If you are privy to the finer details of this particular process, you know that it can take quite a while to fine-tune your infrastructure to best suit your organization’s needs. Depending on the number of users, each handset needs to be hooked up to your organization’s phone infrastructure. This makes adding new users quite a pain, as you may need to move your office around in order to accommodate such growth. Furthermore, you may find that you don’t use all of the services provided by your telephone service provider. Many providers bundle together services, like television or Internet, without giving users the option to section off exactly what type of service they want. This means that you’re ultimately paying for services that you don’t want or need, which is a considerable waste of resources on your part.

Thankfully, VoIP improves the communications conversation. VoIP allows your organization to take advantage of more flexible telephony solutions by using your Internet connection to transmit and receive calls. It works in much the same way as your traditional phone solution, but with less reliance on your physical infrastructure itself. While you can acquire physical handsets for your employees’ desks, the main draw of VoIP comes from the fact that you can use the application in any way you see fit, whether it’s on your smartphone or your desktop.

Imagine being able to take your workplace phone number on the go so that you won’t miss a thing; or being able to dodge extra costs for long-distance calls. Imagine ditching the expensive services that you’re forced to pay for, like cable television, when all you use is your Internet and phone. By implementing VoIP, you’re eliminating unnecessary expenses that would otherwise place restrictions on your ability to effectively communicate and afford the comprehensive solution your business inevitably needs. With NuTech Servicess VoIP solution it’s easy to add user accounts, and since you’re using your Internet connection instead of telephone wires, you’re saving quite a lot of money that could be better utilized if spent elsewhere.

Of course, you still have to be wary of your bandwidth, as you’ll be putting additional strain on your business’ Internet connection in order to use VoIP, but this is only a minor hurdle that a managed IT provider like NuTech Services can help you work through. For Better Business Communications, Choose VoIP

voip_headset_laptop_400.jpg

VoIP, or Voice over Internet Protocol, has become the only practical choice for a forward-focused business’ telephony needs. Any one of those who have adopted it could share a reason that they leverage it. But what is VoIP, really? How does it work, and why is it so popular among businesses? Read on to find out.

To understand VoIP, it may help to understand how the traditional telephone operates. When someone speaks into the receiver, the vibrations from the sound energy hit a part of the phone called the diaphragm and are converted to electrical energy. This energy is transferred through the phone lines to its destination: the recipient’s telephone handset. Once the energy is there, it is reverted to sound, and the first person’s voice can be heard.

VoIP works in a similar way, albeit more advanced. There are actually multiple methods to using VoIP, but we’ll focus on using VoIP through an IP phone.

Just as with the traditional telephone, the process begins when someone speaks into a receiver. However, instead of being converted into electrical energy, the sound of your voice is compressed and compiled into digital packets, which are then sent to the recipient via the Internet. By sending it over the Internet in this way, there is no longer a need to pay the phone company additional funds, lending VoIP its first benefit of cost savings through consolidation.

VoIP phones also allow you a better means of control over your telephony as a whole. With a plethora of features included that would only be available from a phone service provider for a premium price, you have considerable management capabilities. From voicemail to contact lists to conference calling to so much more, the right VoIP solution can lend you advanced business communicative abilities without the advanced prices.

Clearly, there are cost savings to be enjoyed through a VoIP system, but the benefits don’t stop there. Reach out to us at 810.230.9455 to learn about some other ways that VoIP can augment your business operations.

Cost Savings Are Just The Start of VoIP’s Benefits

voip_sunshine400.jpg

Business owners and managers are always looking to save a buck. Since the cost of doing business continues to climb, looking to the cloud for their business-critical applications is one way to spread computing costs out over time. The cloud offers several solutions to help the modern business keep their costs down, and nowhere can these costs be mitigated more than with a business’ communications.

Voice over Internet Protocol (VoIP), specifically hosted VoIP, can help you reduce your communications costs in many ways, including:

Hardware Costs
A hosted VoIP solution makes it possible to get a powerful business phone system without having to go through the headaches and expense associated with installing new phone lines. Anyone who has ever run telephone wire from a distribution hub through the walls of a building knows that, in certain cases, it’s an arduous job. By hooking directly into your company’s broadband network, you can easily add and remove VoIP users on demand.

Additionally, deploying a hosted VoIP system removes the need for PBX hardware altogether. As the major expense in any traditional business telephone system, a PBX system can have huge costs, even thousands of dollars, per user. Even for a smaller PBX roll out, you are looking at a substantial capital investment that is transformed immediately into an operational expense once you choose to introduce a hosted VoIP solution.

Fee Structures
The largest expense for any telephone system is the minutes the phone is being used. Every traditional phone bill will feature costs for long distance calling, which the way it is set up most of the time, are calls that can often be local. Getting rid of this recurring expense is one of the most effective ways hosted VoIP is able to present any business with cost savings.

Broadband Internet is relatively inexpensive, basically mandatory, and available through multiple regional carriers, allowing your organization to buy the resources you need, again, as operational expense, not capital outlays. Moreover, the VoIP service rates are very competitive with the rates that you’d pay if utilizing a traditional phone system, without the need for constant management and maintenance of the system as a whole. A VoIP subscription is typically paid per user, which also provides efficient scalability and organizational flexibility in regards to your telephone system.

Mobility
Another way VoIP helps the modern business stretch its dollar is by adding a mobile aspect to their phone system. Many VoIP systems have mobile applications available through the Android or Apple App Stores. This provides organizations the mobile flexibility they need from their business phone system without paying a pretty penny for individual phones and service plans. Since these applications can be run over Wi-Fi, or through the organization’s virtual private network (VPN), it can save plenty of financial resources normally spent on the deployment of a typical mobile strategy.

VoIP provides all of the most important options that traditional phone systems provide, while adding mobility, and removing the enormous upfront capital costs, long distance fees, and operational maintenance that traditional business telephone systems bring. If your business is looking to cut costs, considering a VoIP system is a good place to start. 3 Reasons VoIP Is An Improvement Over Traditional Telephony

virtual_telephone_400.jpg

Do you still rely on a traditional telephone system to keep in touch with clients and internal departments? This can be a severe issue for your operational budget. While your employees might be accustomed to having the physical phone on their desks, virtual phones are becoming a major contender to replace them for all different types of businesses.

Voice Over Internet Protocol, also known as VoIP, has a surprising amount of benefits over its traditional contemporary. Here are some of the best features of VoIP that make it a dynamic and flexible choice for your organization.

Flexibility
Have you ever had to step away from your desk while you’re on the phone? With the static lines tied to the corded phones of old, this was an impossibility. Even if it is a cordless phone, chances are that it’s limited to a certain range, even within your office. VoIP can completely change the way you look at a telephone solution.

VoIP has options that lets your employees take their duties on the road, allowing them to communicate with any connected device. You can use VoIP applications on a laptop, smartphone, or even a desktop. All you need is the right software installed. Your employees can take their conversations on the road, be it for a business trip, a walk down the street, or burning the midnight oil at the home office to meet an important deadline.

Functionality
Knowing what your phone system can do is incredibly important. Sometimes your phone system will come with various other services like your Internet or television packaged together. When this happens, service providers tend to nickel-and-dime you for everything they can get for simple conferencing solutions. Depending on what your services come attached to, you may need additional features that aren’t already included.

VoIP allows your organization to spend fewer resources on services that you may not want or need, and free up more funds to spend on what you absolutely need. For example, you can get all of the services that you want and need with VoIP, including call forwarding and conference calling, but without going all-in on a service that forces you to pay for television or other services. This helps your business be more productive and lucrative without dropping more than necessary on unused services.

Cost
Your traditional telephone system will wind up costing you more in the long run thanks to its plethora of services and features that don’t do anything for your bottom line. Since these companies require various services to be purchased in a bundle, they cause more trouble than they are worth–particularly in regard to long-distance charges. It might seem like you’re getting a great, varied service, but you’re just spending money on things that you don’t need.

Unlike traditional telephone systems, VoIP lets your organization benefit from significant cost savings. Since you’re only using your business’ Internet connection, you’ll spend less on implementation fees and running wires around your office. All you need to think about is your bandwidth, but that’s easy enough to figure out compared to all of the headaches that come from a traditional telephone service. We can help you work out a plan where you get all of the services that you want, all budgeted into a monthly payment that works for your specific needs.

Does your business need a new communications solution? NuTech Services can help. Your organization can take full advantage of VoIP to augment communications and change the way you do business. To learn more, reach out to us at 810.230.9455.

The Case for Hosting Your Phone Solution In-House

on_premise_phone_system_400.jpg

Traditional communications solutions are all well and good, but they’re quickly growing antiquated and outdated with the inception of more dynamic solutions. Some organizations have found that cloud-hosted VoIP has advantages over an on-premise telephone solution. While there’s a certain degree of truth to this, an on-site system still presents value.

When you host your own VoIP solution, the biggest difference to consider is the fact that you’ll be managing your own hardware. An in-house system is stored in the server room or another dedicated part of your infrastructure. Alternatively, when you use cloud VoIP, the system is stored off-site, hosted and maintained by an outsourced provider.

Keep in mind that when we talk about on-site VoIP systems, we’re not referring to the traditional landline telephone system that many organizations still use. Rather, we’re talking about a virtual phone system that uses your Internet connection rather than a landline cable infrastructure to send and receive calls. Though VoIP is a service that can easily be outsourced to a third-party provider, it’s possible for you to host an in-house system on a dedicated server… assuming you have the staff to properly manage and maintain it.

Regardless, there are still some benefits to consider regarding on-site VoIP hosting rather than going through a cloud provider. Here are a couple of them.

  • Control: In comparison to a hosted solution, your business has greater control over an in-house phone system. You can easily add new users and phone numbers rather than going through support to do so. This also means that you’re in a greater position of responsibility, so it’s important that you have the staff on-site and ready to maintain your system, should you choose to go this route.
  • Use your existing infrastructure: Consider for a moment how much effort went into building your current infrastructure. You already have a network, servers, and other important hardware hooked up to it. What’s a little more in the form of your in-house VoIP system? If you wanted to add VoIP to a cloud infrastructure, you have to go through the hoops of configuration and setup, which is something that you may not have control over with a hosted solution.

If your organization is considering revamping its communications infrastructure, look no further than NuTech Services. We can help your business get the most return on investment from your phone solution. To learn more, reach out to us at 810.230.9455.
